What HVACLookout is
HVACLookout is a research tool for commercial HVAC contractors. We collect public records, such as building permits, building emissions filings, public bids and government contract data, and organise them into signals (opportunity records) with a source, dates and a project stage.
HVACLookout is not a broker, a general contractor or a party to any contract between a building owner and a contractor. We do not guarantee that any record leads to work, that a project is still open, or that any person will respond to you.
Accounts
You need an account to use the paid parts of HVACLookout. Each account has one login. Keep access to your sign-in email private and tell us at contact@hvaclookout.com if you think someone else has used your account. You are responsible for activity under your account.
You must be at least 18 and able to enter into a binding contract. If you sign up for a business, you confirm that you are allowed to accept these terms for it.
Subscriptions and billing
Plans
Plans, prices, included cities and monthly allowances are shown on the pricing page at the time you subscribe. There is no free trial; with a free account, no card required, you can see a limited set of sample signals before paying.
A free account can also download the permit timeline of one NYC building at a time as a CSV file, for up to 30 buildings a month and 5 a day. Downloading the same building again in the same month does not count twice. The limits reset daily and monthly at midnight UTC. This covers single-building timelines only; city-wide lists and exports are part of paid plans.
Payment
All payments are processed by Stripe. We do not store your full card number. Subscriptions renew automatically at the end of each billing period, monthly or annually, until you cancel. Annual plans are billed upfront.
Cancelling
You can cancel at any time from the billing page, which opens Stripe's customer portal. When you cancel, your plan stays active until the end of the period you have already paid for and does not renew.
No refunds
Subscription fees are not refundable, including for partial periods, unused allowances or a plan you cancel early. This does not limit any right you have under law that cannot be excluded.
Allowances
Export and contact allowances reset at the start of each billing month and do not carry over. Exporting the same signal again in the same billing month does not use your allowance a second time.
Failed payments
If a payment fails, your account becomes past due. You can still view records you could see before, but exports and contact unlocks are paused until the payment succeeds.
Price changes
We may change prices for future billing periods. We will email you before a change applies to your plan, and you can cancel before it takes effect.
Payment disputes
If you disagree with a charge, email contact@hvaclookout.com first so we can look into it.
If you open a dispute or chargeback with your bank or card issuer without contacting us first, we will give the card issuer our records of the transaction and of the delivery of what you bought, and we may suspend your account while the dispute is open.
Public-record data
Where the data comes from
Signals are compiled from public sources published by city, county, state and federal agencies. Each record shows its source and when we last checked it.
Accuracy
Public records can be incomplete, late, wrong or changed after publication, and our classification of a record (for example as commercial, or as a particular project stage) can be wrong. Figures such as estimated Local Law 97 penalties are estimates based on published data and formulas; they are not a legal determination or a compliance notice. Do not rely on HVACLookout as your only source for a bid, estimate, legal or financial decision. Check the original record before acting.
Owner names
On public pages, owner names in sample records are masked. In the paid app, organisation owners are shown in full and individual owners are not shown.
Corrections and removal
If a record about your building or business is wrong, or you would like it reviewed for removal, email contact@hvaclookout.com with the page address and what should change. We review requests and correct or remove records where appropriate.
Your responsibilities
You are responsible for how you use information from HVACLookout, including:
- following laws on commercial email, calls and text messages, such as the CAN-SPAM Act and the Telephone Consumer Protection Act, and any state rules that apply;
- honouring opt-out requests from the people and businesses you contact;
- holding the licences, registrations and insurance your work requires.
Acceptable use
You agree not to:
- resell, sublicense, publish or share HVACLookout data or exports outside your own business;
- scrape, crawl or copy the service in bulk by automated means, or try to get around plan limits, masking or access controls;
- use HVACLookout to decide anyone's eligibility for credit, insurance, employment or housing;
- send spam, harass building owners, or misrepresent your relationship with HVACLookout or with a building owner;
- interfere with the service or other users' accounts.
We may suspend or close an account that breaks these terms. If we close your account for a breach, fees already paid are not refunded.
Our content
The HVACLookout service, its software, design, text and the way the data is organised belong to us. Exports you download may be used inside your business for as long as you need them. Public records themselves remain subject to the terms of the agencies that publish them.
Availability and changes to the service
We work to keep HVACLookout available and up to date, but sources change, go offline or update late, and the service may be interrupted. We may add, change or remove features and data sources.
Disclaimers
HVACLookout is provided "as is" and "as available". To the extent the law allows, we disclaim all warranties, whether express or implied, including warranties of merchantability, fitness for a particular purpose, accuracy and non-infringement.
Limitation of liability
To the extent the law allows, HVACLookout is not liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, lost jobs or lost data. Our total liability for any claim relating to the service is limited to the amount you paid us in the 12 months before the claim.
Indemnity
You agree to cover our reasonable costs and losses if a claim is brought against us because of how you used HVACLookout, including how you contacted a building owner, or because you broke these terms.
Governing law and disputes
These terms are governed by the laws of Victoria, Australia. The courts of Victoria have exclusive jurisdiction over any dispute about them or the service.
Changes to these terms
We may update these terms. If a change is material, we will email account holders before it takes effect. The date at the top shows the latest version. Continuing to use HVACLookout after a change takes effect means you accept it.
